Source. Facts. Audience. Details.
- Source: identify who approved the information, its date or version, and whether it applies to this task.
- Facts: compare the exact date, time, place, and instructions. Do not merge conflicting versions.
- Audience: identify who will receive the message and the approved channel.
- Details: include what the audience needs and what is approved for that audience. Keep private records separate.
Newer alone does not mean approved. A confident statement, screenshot, or AI draft does not prove a claim is correct. If the source or permission is unclear, ask the responsible person before sharing the uncertain material.
Fictional source packet A
- Current approved public notice: Sam approved version 2 on October 8, 2026. Example Skills Center’s practice workshop is Tuesday, October 13, 2026, at 2:00 p.m., in Room B. The public notice may include the workshop name, date, time, and room.
- Old flyer: version 1 says 1:00 p.m. in Room A. Sam says this version is superseded.
- Private roster: a staff-only document contains attendee names, personal phone numbers, and attendance notes. Sam’s rule for this exercise: do not include or attach it in public messages.
Your task: draft a public announcement from the approved notice. Do not actually publish it.
A checked public announcement
Example Skills Center’s practice workshop is Tuesday, October 13, 2026, at 2:00 p.m. in Room B.
Included: approved workshop name, date, time, and room. Excluded: old time and room, attendee names, phone numbers, attendance notes, and the roster attachment. Do not invent cost, registration links, availability, or extra promises.
Why “just attach everything” fails
The public audience needs the approved event details. The private roster is not authorized for that audience. Accurate private information can still be inappropriate to share. Removing a name alone would not make phone numbers or attendance notes suitable for this announcement.
If a new screenshot disagrees
Suppose Jo sends a screenshot saying 3:00 p.m., but no approval or version is identified. Ask Sam: “The approved version 2 says October 13 at 2:00 in Room B. Jo’s screenshot says 3:00. Has a new time been approved?” Do not replace the approved time with the screenshot’s claim while awaiting direction.
The source and sharing rules above are supplied by the fictional packet. In real work, verify current instructions and use the organization’s approved process. This lesson is practice in source checking and careful communication; it does not establish a legal privacy policy.

Fictional source packet B
- Lee approved public notice version 3 on October 9, 2026: Example Workshop’s practice session is Wednesday, October 14, 2026, at 11:00 a.m., in Room Green.
- Version 2 says 10:00 a.m. in Room Blue; Lee identifies it as superseded.
- A staff-only sheet contains learner names, personal email addresses, and individual support notes. The rule in this packet prohibits including or attaching that sheet in public announcements.
- Lee authorizes the session name, date, time, and room for the public announcement.
First: identify the approved source, draft the public announcement, and explain what you leave out. Try without someone or AI supplying the answer. Access supports may remain when they do not supply the reasoning.
After your announcement: open the conflicting claim
Pat sends an undated note saying “Move the session to 12:00 in Room Yellow.” No approval from Lee is shown. Lee remains responsible for changes.
Second: open the claim. Draft a clarification request to Lee. Explain why the note is not enough to change your announcement.
After your attempt: model and explanation
Source: Lee’s approved version 3; version 2 is superseded. Announcement: “Example Workshop’s practice session is Wednesday, October 14, 2026, at 11:00 a.m. in Room Green.”
Exclude the old time and room, staff-only sheet, names, personal email addresses, support notes, and unsupported details.
Clarification: “Hi Lee, approved version 3 says October 14 at 11:00 in Room Green. Pat’s undated note says 12:00 in Room Yellow, with no approval shown. Could you confirm whether a change has been approved and which time and room apply?”
The note’s approval and currency are unknown. Do not claim Lee approved it or merge its time with the old room. If you saw this model first, use a fresh equivalent packet for independent assessment.

Facilitator guide
Review the independent source choice, announcement, exclusions, clarification, and explanation. Mark each criterion Meets, Revise, or Not observed. All four must meet; an average cannot override a missing criterion.
- Source: identifies Lee’s approved version 3; recognizes version 2 as superseded.
- Factual accuracy: public message uses October 14, 2026, 11:00 a.m., Room Green, and the correct session name without invented details.
- Audience and details: excludes the staff-only attachment, names, personal email addresses, and individual support notes; explains the packet’s public-sharing rule.
- Conflict handling: asks Lee to confirm Pat’s unapproved time and room rather than treating the note as approval; explains the uncertainty, uses respectful wording, and discloses meaningful help.
Keep the stages separate: finish the initial announcement before opening Pat’s claim. Accept spoken, dictated, written, or typed work with documented supports. Harmless spelling and accent differences do not change the standard. Feedback example: “Your date is correct. The approved room is Green; replace Blue and compare every detail with version 3.”
Fresh reassessment packet
Robin approved version 2 for Example Center’s practice event on Thursday, October 15, 2026, at 9:00 a.m., Room Two. Version 1 says 8:00, Room One, and is explicitly superseded. Only event name, date, time, and room may appear in the public notice; a staff-only contact-and-support sheet must not be included or attached. Ask for source choice, announcement, and exclusions. Then provide Alex’s undated unapproved suggestion of 10:00, Room Three. Ask for a clarification request to Robin and explanation. Apply the same four criteria.
